ETSY LISTING PROTECTION
How to back up your Etsy shop—including images
A listing backup should give you more than a spreadsheet of links. Cayana saves a dated copy of your listing data and independently retains the image and video files it verifies—so you have something real to recover from.
Your first full shop backup is created automatically when your listings are imported.
WHAT A COMPLETED BACKUP CONTAINS
Listing information and the media files behind it
Cayana takes a snapshot of the Etsy data available at that moment, then downloads and verifies each media file separately. The backup screen shows how many files were expected and how many were stored successfully.
Listing details
Titles, descriptions, prices, quantities, tags, materials, listing IDs and the saved Etsy response used for detailed recovery.
Variations and setup
SKUs, variation products, prices and quantities, plus identifiers for category, shipping profile and other saved Etsy setup fields.
Actual image files
Image URLs are recorded, and verified copies of the image files are retained in Cayana storage in their saved Etsy order.
Actual video files
Listing videos are stored as independent files when successfully downloaded and verified, then included in a complete backup export.
“Complete” has a practical meaning. Cayana tracks expected and verified media counts. If a file could not be stored, the interface reports that rather than silently presenting the backup as fully intact.
CAYANA OR ETSY CSV?
Etsy’s export is useful. It is not a media backup.
Etsy’s official help page says its listing CSV covers active listings and includes fields such as title, description, price, tags, materials, SKUs and image URLs.
A URL points to an image; it is not the image file. Cayana’s completed backup retains verified copies of images and videos independently, alongside records designed to reconnect each file with its listing.

Compare the saved version with the listing now on Etsy
If a title was overwritten or a photo disappeared, Cayana shows the backup beside the current listing. You choose what to put back instead of replacing everything.
Open Changes since backup
Choose a current listing and compare it with the last completed backup.
Review only the differences
See changed text and image counts. Open image differences to find removed, added or reordered photos.
Restore what you select
Send a saved title back to Etsy, or select a retained image and upload it to the listing again.
The backup must have been made before the unwanted change. Follow the full recovery guide.
RECOVER A DELETED LISTING
Recreate a missing listing as an Etsy draft
Cayana checks the latest completed backup against the listings still present in your shop. If it finds a saved listing that is missing from Etsy, you can preview it before recovery.
Preview the saved listing
Check the title, description, price, quantity, tags, variations and saved media count before doing anything on Etsy.
Recreate it as a draft
Cayana creates a new Etsy draft, attempts to restore its saved inventory and variations, and uploads the verified saved images in order.
Review, add video and publish
Check the new draft on Etsy. Saved videos are retained in the downloadable backup but are not currently uploaded automatically during recreation.
What “recreate” means
Etsy creates a replacement listing, so it receives a new listing number and URL. The deleted listing’s favourites, sales history and original URL do not transfer.
Etsy may also reject or change fields that are no longer valid. Cayana reports warnings when variations or images could not be restored fully, leaving the new listing as a draft for review.
A BACKUP YOU CAN TAKE WITH YOU
Download the listing index or the complete backup
You can recover inside Cayana, or download enough structure to match listing data with the right files yourself. Large backups are split into parts of about 500 MB so they are more manageable to create and download.
Listing index
One searchable CSV links each original Etsy listing number to a stable recovery folder name. It includes saved fields, variations, SKUs, image links and extra identifiers used for recreation.
Complete ZIP backup
Every part includes the complete index, a part-specific index, a media manifest, readable and JSON listing records, and clearly named image and video files.
The listing number is the dependable join key; the title in the folder name makes it easier to recognise. Listings stay whole within a ZIP part, so one unusually large listing can make that part exceed 500 MB.
COMMON QUESTIONS
Etsy shop backup questions
No. Etsy says its active-listings CSV includes image URLs. Those links are useful references, but the CSV itself does not contain the image or video files. Cayana independently downloads and verifies the media included in a completed backup.
Cayana checks the latest completed backup for listings that are no longer present on Etsy. You can preview a missing listing and recreate it as a new Etsy draft. Cayana restores supported listing data, variations where Etsy accepts them, and saved images. The replacement receives a new Etsy listing number and URL.
Yes, if the image exists in an earlier completed backup. Compare the current listing with its saved version, open image differences, select the removed image and upload it to Etsy.
